Tegma: how Stratws organized task and meeting management
See how Tegma unified indicators and connected tasks, action plans, and routine meetings in one system with Stratws, Siteware's platform.
Before Stratws, Tegma consolidated indicators in an internal SAP system and an advanced spreadsheet setup, with data entered by hand. Today, tasks, action plans, and routine meetings run connected in a single system.
Tegma has 50 years of history and is one of the largest logistics operators in Brazil, working across vehicle logistics and integrated logistics nationwide. Its partnership with Siteware began in June 2018.
What challenges did Tegma face before Stratws?
Before the partnership with Siteware, entering data and indicators into Tegma’s spreadsheets took up a lot of employees’ time, with macros that needed constant updating.
Douglas Garcia, Quality Coordinator at Tegma, saw that workload drop with Stratws.
The consolidation work Stratws does existed in the spreadsheets too, but it took a lot of effort. In the system, that's a lot easier.
Indicator management already worked well, but action plan management was missing. When an indicator came back as a problem, solving it wasn’t effective or fluid. That’s what led Tegma to look for Siteware.
If it were just about consolidating indicators, we wouldn't even have looked for Siteware. We needed a lot more than that.
How did Stratws roll out at Tegma?
Each spreadsheet at Tegma was built however each person preferred, with no standard for controlling information. Dropping that habit wasn’t instant.
We still run into resistance today, but I wouldn't call it the majority, it's definitely the minority.
Stratws unified Tegma’s information into a single standard and environment. An indicator deviation now connects directly to an action plan, linking task management and meeting management into one flow.
When there's a deviation, the system already lets you connect it to an action plan, which makes for very efficient task management and meeting management that's effectively connected to tasks.
Over time, Stratws became part of Tegma’s routine. Monthly routine management meetings now have their minutes recorded straight in the system, with tasks logged in the same place.
What results has Tegma seen with Stratws?
Stratws brought more comfort to Tegma’s routine. There are fewer operational tasks, easier indicator management, and an easier time spotting management units with problems.
Even though we thought the spreadsheets served us well, once the system arrives, it's a whole different, much better world, there's no comparison.
With heavy use of the system, Tegma identified a need of its own: logging tasks born out of informal meetings. Those tasks had no link to any indicator, action plan, or specific meeting. Siteware delivered that customization.
What senior leadership likes most is task management, being able to hold people accountable, taking the conversation out of email, and having everything logged in the system.
New leadership at Tegma is now expanding Stratws’ use, with internal training structured to bring the system to those who are still less familiar with it.
