Privacy Policy
Siteware values user privacy and the security of its customers’ information. By agreeing to use Siteware’s services and applications, you entrust us with the processing and, at times, the storage of confidential information and certain personal data. We therefore have a duty to act responsibly and remain committed to protecting the information entrusted to us.
Siteware is an IT company that provides specialized tools designed to simplify performance management in organizations, primarily through the Software as a Service (SaaS) model. Our applications are used by companies around the world.
This document explains how data is handled throughout the information lifecycle (collection, processing, retention, protection, and management) with particular emphasis on information that may be regarded as personal data under the strictest market standards.
The Siteware platform is available exclusively to organizations (B2B), our customers, and solely for business purposes. Employees of our customers are the users of the systems we provide. Personal data processed by our systems is related exclusively to these users’ professional activities (see the shared responsibility models).
As a SaaS provider, Siteware collects and processes data on behalf of the organizations that hire us. Under this model, our customer is the “data controller,” while Siteware acts as the “data processor,” primarily through our offerings.
Data will therefore be processed in accordance with the instructions established by our customers and applicable law. If you are an employee, former employee, or supplier of one of our customers and have questions or wish to exercise any of your rights as a personal data subject, please contact the responsible customer directly.
When you purchase our solution, browse our website, complete our business forms, or interact with our channels, social networks, or help center, Siteware acts as the “data controller” for the personal data you provide.
If you (whether a customer, user, or website visitor) do not agree with the terms presented here, please do not use the Siteware platform or access our website. By using our applications and/or website, you acknowledge the contents of this Policy and agree to be legally bound by all the conditions set out herein.
Whenever there is a change to how our software handles information that may be considered personal data, we will amend and publish a revised version of this Policy.
Further details are provided below. We also recommend that you read the company’s other policies and codes of conduct. If you have any questions, please contact our Data Protection Officer at [email protected].
Sincerely,
Siteware

What are Siteware’s main products?
The Siteware platform consists of applications that support strategy execution and goal tracking, helping improve business management from the C-suite to the shop floor. Examples of the available modules include:
- Corporate Performance: Monitoring of Strategic Objectives, KPIs, and OKRs, enabling top-down goal deployment and bottom-up consolidation of results.
- Individual Performance: Calculation of managers’ bonuses based on achieved goals. Competency Assessment, Feedback, and Individual Development Plans.
- Improvement Opportunities: Continuous process improvement using Analysis and Problem-Solving methodologies supported by Action Plans.
- Meeting Management: Management of the entire meeting lifecycle, from scheduling and agenda proposals to drafting and approving minutes and monitoring agreed actions.
- Visual Management (exclusive to the Stratws offering): Creation of management dashboards and reports.
- Project Portfolio Management (exclusive to the Stratws offering): Project portfolio management through a framework based on project management best practices.
The modules are natively integrated. Platform adoption is flexible: all modules share the same philosophy and a common core. Our customers typically begin with two or three modules and gradually add others.
What information do Siteware applications collect? How is it used and shared?
Information is primarily collected to help organizational leaders monitor corporate performance. Data is shared only within the context of the organization that hires us and through the formal communication channels it designates, such as email, internal reports, dashboards, and meetings.
Due to the nature and purpose of our applications, most data is corporate. This information commonly includes goals, KPIs, tasks, result calculations, action plans, projects, and meeting minutes.
Customers and users should be aware that some data regarded as personal under stricter definitions is handled by our software, particularly information connected to users’ assignments and professional activities.
What may be considered personal data? How is it used and shared?
Under the strictest standards, “personal data” means any information that can be used to identify a “user,” directly or indirectly, either on its own or together with other information. This includes a corporate login and/or full name, email address, telephone number, photograph, device IDs, certain cookie identifiers, network identifiers, and location identifiers.
Based on this definition, some information in our applications qualifies as personal data. The mandatory fields in a user registration are name/user login and email address. Optional fields, where available, typically include CPF/ID, telephone, mobile number, date of birth, marital status, gender, employee/registration number, management unit, leadership position, occupation, direct supervisor, hire date, date of appointment to the role, and photograph.
The customer’s system administrators may choose whether to complete optional profile fields when creating a user, where such fields are available. Users may update their own registration details.
Siteware’s B2B platform does not store or request more sensitive personal information. In SaaS Premium versions, the software supports federated identity, which we recommend. In this case, access is provided through the customer’s corporate directory without Siteware needing to store the access password.
When a user accesses Siteware applications, their activities are recorded for audit purposes. Under stricter standards, this is also considered personal data. For example, when the value of a KPI is manually changed, the name of the user who made the change is recorded, reflecting professional activity associated with that user’s role. This supports commonly required logs containing time and date, username, action, and value, for example: at 9:30 a.m. on August 2, 2019, user X changes KPI Y to value Z.
User activities are also recorded in other situations, including system access, tasks, attached files, workflows, meetings, and other system objects. As in the previous example, this information is used for auditing.
The collection, use, and sharing of information relate to performance management and may vary depending on the modules used by each customer. Check which Siteware application modules your company uses. The most common features of each module and some typical audit logs are described below.
Corporate Performance
The Corporate Performance module brings strategic, tactical, and operational indicators together in one place, obtaining information from other systems or ERPs used by the company. Information may be entered automatically through interfaces or manually by designated users, generating logs.
The module allows users to monitor strategic planning results in real time and engage all employees in improving results, regardless of the management model used.
Individual Performance
The Individual Performance module helps organizations develop and retain talent. It supports employee performance assessment and results-based compensation. Its features include Results Programs (variable compensation), Competency Assessments for Individual Development Plans, and the 9-Box Matrix.
Meeting Management
The Meeting Management module supports the entire meeting lifecycle: scheduling, setting the agenda, inviting participants, creating agreed tasks, and drafting and approving meeting minutes. In line with the Getting Things Done (GTD) methodology, it supports monitoring established tasks and logs their creation and completion.
Visual Management
The Visual Management module automates visual management processes, making management transparent and focused on what matters most. Through dashboards and reports, it brings indicator information together so it can be shared with the entire team. This may include displaying results on internal LCD televisions in common areas, helping increase engagement and productivity and improve relationships across all areas of the company.
Improvement Opportunities
The Improvement Opportunities module (or Action Plans and FCA in Valorae Metas) guides problem analysis and resolution, helping companies implement continuous process improvement through universal methodologies such as PDCA, FCA, See & Act, and DMAIC. It also supports the achievement and maintenance of major certifications by grouping analyses into Corrective Actions and Improvement Actions.
Forms may be created and tasks assigned in this module, with changes logged. Users access the tasks assigned to them and the related approval flows, which are also logged.
Project Portfolio Management
The Project Portfolio Management module (which has no equivalent in Valorae) supports monitoring project progress, change management, deliverables, and costs, and provides a consolidated graphical view of the status of the entire project portfolio. Projects and schedules may be created, with changes logged. Users access projects and schedules within the units assigned to them, while leadership and C-level executives can view the full portfolio.
How is information accessed in Siteware applications? Who has access?
Once a user enters a valid username and password in a web browser, a secure connection is established using HTTPS (Hypertext Transfer Protocol Secure). After authentication, the user may access the company’s business units for which the customer’s system administrator has granted permission.
Siteware applications may be accessed only with a valid corporate email address/ID. Login may use the customer’s single sign-on mechanism in the SaaS Premium version with federated identity. Only authorized employees and contractors of the customer may access the system.
Siteware may occasionally access the customer environment for support and maintenance. Access is restricted to certain support team members investigating specific issues and product team members performing corrections and updates. Permissions are limited by Siteware’s role-based access control policies, and access events are logged.
How is information protected in Siteware applications?
Siteware treats customer and user information as confidential and applies high security standards to protect this data through multiple layers of security controls.
Siteware applications use world-class security technologies, and all data is encrypted both in transit and at rest. Customers may also purchase optional protections, including a web application firewall with DDoS protection. Our software regularly undergoes vulnerability assessments and penetration testing.
Siteware implements additional measures to protect customer data against unauthorized or unlawful processing; accidental or unlawful destruction; accidental loss; unauthorized alteration, disclosure, or access; misuse; and any other unlawful form of processing involving data in our possession.
In the event of a security breach in environments made available to our customers, we provide all assistance required by law. A security breach is understood as the potential exposure of information that compromises the confidentiality or integrity of stored data. All data exchanges take place through a secure SSL communication channel encrypted with digital signatures.
How long do Siteware applications retain this information?
Information is retained in the software indefinitely while the customer maintains its contract with Siteware. If the contract ends, the information remains available for 30 days. After this period, the data is stored in a backup and the entire SaaS instance (including the application, database, and storage) is shut down and deleted. For security purposes, the backup is retained for one year and then destroyed.
What other data collection tools do Siteware applications use?
Our applications use cookies to collect data and improve the user experience in our web application. Siteware also uses third-party analytics tools, such as Google Analytics, Power BI, and Mixpanel, to measure engagement with the system.
What data is collected on our website?
When you visit our website, voluntarily complete our business forms, or interact with Siteware in other ways (for example, to request information, ask questions, purchase our services, apply for a position, or establish a partnership) different types of personal data may be collected. These include, but are not limited to:

Information about employees or third parties responsible for the contract may also be requested.
- Candidate data: Name, email address, telephone number, field of work, identification document, LinkedIn profile, portfolio, and résumé. Additional data may be requested and collected during the recruitment process.
- Cookies: Cookies used by Siteware applications collect and encrypt application context information, such as the last business unit accessed in the customer’s web application, thereby improving the user experience. Authentication cookies are also used to validate the secure connection.
For what purposes is personal data processed?
As a data controller, Siteware processes personal data in compliance with the Brazilian General Data Protection Law (Law No. 13,709/18, LGPD) and to serve both our legitimate interests and yours. We also process data for the following specific purposes:
- To provide and manage our services or products;

For further details about how your personal data is processed for the purposes listed above, contact our Data Protection Officer at [email protected].
How do Siteware’s artificial intelligence connectors work?
Siteware provides connectors that allow artificial intelligence assistants (currently Anthropic’s Claude and OpenAI’s ChatGPT) to access information in your Stratws account. The connection is optional and occurs only at your initiative: to activate it, you must authenticate using your Stratws credentials and explicitly authorize access.
Once connected, the assistant can view, create, and modify the same corporate information described in this Policy (including goals, indicators and their values, tasks, results, action plans, projects, management units, meeting minutes, and feedback) as well as your name and email address. Changes made by the assistant have the same effect as changes made by you directly in the platform.
The connector does not grant the assistant access beyond what you already have. The same permissions that apply to you in Stratws also apply to the assistant connected to your account.
The connector does not store the information retrieved; it only intermediates between Stratws and the assistant. Siteware keeps operational connection logs containing the date, time, and user identification for security and troubleshooting purposes for a period of 30 (thirty) days.
Once information is sent to the artificial intelligence assistant, the processing of that data is governed by the privacy policy of the platform you have chosen to use, rather than this Policy. Siteware does not engage, control, or assume responsibility for processing carried out by those platforms. Before activating a connector, we recommend reading the corresponding platform’s privacy policy:
Siteware does not use customer data to train artificial intelligence models.
You may disable the connection at any time by removing the connector from the artificial intelligence platform you are using. Once the connection has been terminated, the assistant immediately loses access to information in your account.
What are my rights as a personal data subject?
As a data subject, you may contact Siteware in its capacity as data controller at any time to:

- Obtain information about how to access your personal data;
- Correct or request the correction of incomplete, inaccurate, or outdated data;
- Obtain information about the anonymization, blocking, or deletion of unnecessary or excessive data or data processed in violation of the LGPD;
- Obtain information about the portability of your personal data to another service provider upon express request;

To exercise any of the rights set out above or establish your preferences regarding the processing and use of your personal data, contact our Data Protection Officer at [email protected].
To serve as the communication channel with data subjects and/or the Brazilian National Data Protection Authority (ANPD), Siteware has appointed Mr. João Batista Lopes as its Data Protection Officer.
These rights are not absolute, and we may not always be able to satisfy your requests in whole or in part. In such cases, we will provide the explanations necessary to justify why a request cannot be fulfilled, either fully or partially.
For security reasons, we can act on your request only after confirming your identity. We may therefore ask for additional data or information to confirm the requester’s identity and authenticity.
If you are an employee, former employee, or supplier of one of our customers and have questions or wish to exercise your rights as a personal data subject, we recommend contacting the responsible customer directly.
